Terms & Conditions for Villa la Posta Private Members Club

These Terms & Conditions (“Agreement”) govern your membership in the Villa la Posta Private Members Club (“the Club”) and outline the rights, responsibilities, and privileges associated with your membership. By joining the Club, you agree to abide by these terms.

1. Membership Eligibility

• Membership is available exclusively by invitation and is subject to approval by Villa la Posta.
• Members must be at least 18 years of age.
• Membership is non-transferable and cannot be shared, sold, or assigned to any third party.

2. Membership Categories

• Individual Membership: Provides access for one member and their immediate family (spouse, partner) to the Club’s benefits.
• Family Membership: Extends membership privileges to a member’s immediate family, including spouse/partner, children under 18. 
• Corporate Membership: Available for businesses, providing access for employees and partners to certain membership privileges as designated by Villa la Posta. Please contact us should you wish to discuss a Corporate membership.

3. Membership Dues and Payment

• Membership dues are paid annually and are due on the membership anniversary date.
• The Club reserves the right to revise membership fees at the beginning of each calendar year. Members will be notified in writing of any changes to the membership dues at least 60 days in advance.
• Payments are non-refundable, except in cases of cancellation within a 14-day cooling-off period following the first payment, if applicable.

4. Membership Privileges

• Exclusive Stays: Members are entitled to a set number of nights each year at selected Villa la Posta properties (subject to availability). Specific terms regarding the number of nights, property access, and seasonal restrictions will be outlined in the member's welcome packet.
• Priority Booking: Members receive priority booking access to villa residences, dining experiences, and special events.
• Exclusive Experiences: Access to curated activities such as vintage car rallies, private wine tastings, equestrian programs, and other bespoke experiences offered by Villa la Posta and its partners.
• Culinary Experiences: Members will enjoy exclusive dining privileges at our partner restaurants and culinary events, including special menu offerings and private chef services.

5. Booking and Reservations

• Advance Reservations: For all villa stays, reservations must be made at least 90 days in advance for peak seasons (summer, holidays) and at least 30 days in advance for off-peak seasons.
• Cancellations: If a reservation is canceled less than 30 days before the scheduled arrival, a cancellation fee of 50% of the total reservation cost will apply. Cancellations made less than 7 days prior to arrival will result in a 100% cancellation fee.
• No-Show Policy: No-shows will be charged the full cost of the booking, and the member’s privilege of booking may be restricted for future stays.

6. Use of Club Properties

• Personal Use Only: All villas and residences are for personal use only by the member and their authorized guests. No commercial activities, sub-letting, or events are permitted unless agreed to in writing by Villa la Posta.
• Guest Policy: Members may invite up to a maximum of 4 guests per visit. Any additional guests will be subject to prior approval and additional charges.
• Property Access: Members must respect the privacy and safety of other guests and follow all property rules, including restrictions on noise, smoking, and pet policies.

7. Conduct and Behavior

• Code of Conduct: Members are expected to conduct themselves in a manner that upholds the values and reputation of the Villa la Posta Private Members Club. Disruptive or offensive behavior may result in temporary suspension or termination of membership.
• Liability: Villa la Posta is not liable for any personal injury, loss, or damage incurred during your stay or participation in Club activities. Members are encouraged to take out personal insurance for any unforeseen circumstances.

8. Termination of Membership

• Voluntary Termination: Members may cancel their membership at any time with written notice to Villa la Posta. Membership fees will not be refunded, and cancellation will be effective at the end of the current membership year.
• Involuntary Termination: The Club reserves the right to terminate a membership immediately if a member fails to adhere to these Terms & Conditions, engages in illegal activities, or violates the Club's code of conduct. In such cases, no refund of membership dues will be provided.

9. Privacy and Data Protection

• Villa la Posta respects the privacy of its members. Personal data provided by members will be used exclusively for managing the membership, reservations, and communication related to Club activities.
• Villa la Posta will not share or sell personal data to third parties without prior consent, except where required by law or for the fulfillment of services related to membership benefits.

10. Force Majeure

• Villa la Posta is not liable for any failure to perform its obligations under this Agreement due to events outside its reasonable control, including but not limited to natural disasters, pandemics, strikes, or government restrictions.

11. Modification of Terms

• Villa la Posta reserves the right to modify these Terms & Conditions at any time. Members will be notified of any substantial changes in writing, and the revised terms will take effect on the specified date.

12. Governing Law and Dispute Resolution

• This Agreement shall be governed by and construed in accordance with the laws of Italy. Any disputes arising under this Agreement shall be resolved through mediation or, if necessary, through the courts of Florence, Italy.
